This Privacy Policy describes how TN Labs LLC, doing business as Speakwise (“we,” “us,” or “our”), collects, uses, and protects your information when you use our Speakwise iOS mobile application and our free web-based transcription tools at speakwiseapp.com (together, the “Service”).
FREE WEB TOOLS (speakwiseapp.com)
Alongside the iOS app, we offer free browser-based transcription tools, such as our Speaker Diarization tool (see all at /free-tools). This section describes how those tools handle your data.
- Sign-in: You sign in with Google to use a tool. We receive your name and email to identify your account and apply usage limits.
- Audio you upload: Your audio file is stored temporarily and sent to our transcription provider to produce your transcript. It is automatically deleted within 24 hours (usually within minutes of completion).
- Transcript: Your transcript is stored so you can view and download it, and is automatically deleted after 30 days. You can delete it yourself at any time from the transcript page.
- Email notification: When your transcript is ready, we may email the address from your Google sign-in with a link to view it. That email also contains a short promotion for our Speakwise iOS app. It is sent through Resend, and every message carries a one-click unsubscribe link.
- No AI training by Speakwise: We don't operate our own AI models and never train AI on your audio or transcripts. Your audio is sent to our transcription provider only to generate your transcript.
Sub-processors (web tools)
- ElevenLabs (United States) — speech-to-text transcription and speaker diarization.
- Supabase — temporary audio storage and our database.
- Clerk — Google sign-in and authentication.
- Resend (United States) — sends the “your transcript is ready” email; receives your email address and the link to your transcript, never the transcript itself.
- Upstash — rate-limiting only (stores a per-account run count; no audio or transcript content).

IMPORTANT: Voice recordings are considered personally identifiable information (PII) under GDPR and personal information under CCPA/CPRA, as they may reveal gender, ethnic origin, health information, and other identifying characteristics.
Automatically Collected Information
- Device type, operating system, and version
- App usage patterns and performance data
- IP address and general location information
- Crash reports and error logs
HOW WE USE YOUR INFORMATION
We use your information to:
- Provide AI-powered transcription and summarization services
- Generate meeting insights and action items
- Sync data with integrated services (with your explicit consent)
- Improve app functionality and user experience
- Ensure app security and prevent fraud
- Comply with legal obligations
- Email you when a transcript you requested from the free web tools is ready, and tell you about the Speakwise iOS app in that message — you can unsubscribe from these emails at any time
Legal Basis for Processing (GDPR)
- Contract performance: To provide our transcription services
- Legitimate interest: For security, fraud prevention, service improvement, and for telling you about our own similar products in a message you already expect — refusable in one click on every message
- Consent: For optional features and third-party integrations
DATA RETENTION
We retain your personal information only as long as necessary to provide our services:
- Audio recordings: Until you delete them or terminate your account. For accounts with no active subscription that have been inactive for 60 days or more, we may delete stored audio recordings as part of routine data minimization; your transcripts and summaries are not affected by this cleanup
- Transcriptions and summaries: Until you delete them or terminate your account
- Account information: Until account termination plus 30 days for administrative purposes
- Usage analytics: 24 months maximum, then aggregated and anonymized
Upon account deletion, all personal data is permanently removed within 30 days.
DATA STORAGE AND SECURITY
Your data is stored securely using Supabase, a SOC 2 Type II compliant cloud database provider:
- Standard Supabase security in transit and at rest
- Access strictly limited to your account only
- Multi-factor authentication for administrative access
- Regular security audits and vulnerability assessments
- Data backup and disaster recovery procedures
DATA SHARING AND DISCLOSURE
We do not sell, rent, or share your personal data with third parties except:
With Your Explicit Consent
- Third-party integrations you authorize (e.g., Notion, Google Drive)
- Data export requests you initiate
AI Assistant Connectors (Meta Muse, ChatGPT, Claude and others)
You can connect Speakwise to an AI assistant so that it can read your recordings when you ask it to. A connection only exists after you sign in to Speakwise and approve it on our consent screen.
- What the assistant can read: your list of recordings (titles, dates, length), transcripts including speaker labels, summaries, action items and your own notes. Only the data of your own account.
- What it cannot do: it cannot change or delete anything, and it never receives your audio files, your password, or your payment and subscription details.
- Who receives the data: the provider of the assistant you connected (for example Meta, OpenAI or Anthropic). They receive the content the assistant requests on your behalf and handle it under their own terms and privacy policy. They act at your direction, not as our service provider.
- How to stop it: disconnect Speakwise in the assistant's connector settings, or under Manage connected apps. Access ends immediately.
- What we keep: the name of the connected app, when you connected it and when it was last used, so we can show you your connections and prevent abuse. We never see the questions you ask the assistant.
Legal Requirements

Service Providers
- Speech-to-text transcription — processes your audio to generate transcripts: fal.ai, ElevenLabs, and Replicate (all United States)
- AI summaries, titles, and to-do lists — your transcript text (never your audio) is sent to OpenAI (United States) to generate them; OpenAI does not use data submitted through its API to train its models
- Cloud hosting and database services (Supabase)
- Analytics providers (aggregated data only)
We share your audio with our transcription providers only to produce your transcripts, and with other service providers only to operate the Service. We do not sell your data or use it to build advertising profiles. Each provider processes your data under its own terms.
REFUND REQUEST HANDLING
When you request a refund for an in-app purchase through Apple, we may share certain account and purchase information with Apple to help inform their refund decision. This includes:
- The age of your account with us
- The total amount, in USD, of in-app purchases you have made
- The total amount, in USD, of refunds you have previously received
- The platform on which the purchase was made
- The status of your account (active or inactive)
- Whether the purchased content was successfully delivered
- Our preference regarding the outcome of your refund request
This data is shared with Apple Inc. solely to assist Apple in evaluating refund requests in accordance with their policies. Apple makes the final decision on whether to grant or deny a refund. By using Speakwise and making in-app purchases, you consent to this sharing of information. You can read more about Apple's refund process at https://support.apple.com/en-us/HT204084.
ADVERTISING AND MARKETING
Facebook/Meta SDK
We use the Facebook SDK to measure the effectiveness of our advertising campaigns and improve our marketing. This includes:
Data Collected:
- App installation and first launch events
- In-app events (app opens, onboarding completion, subscription starts)
- Purchase and trial start events with transaction amounts
- Device advertising identifier (IDFA) - only if you grant tracking permission
- Device and app information (device model, OS version, app version)
How It's Used:
- Measuring ad campaign performance
- Optimizing ad delivery to users likely to be interested in our app
- Creating lookalike audiences for advertising
- Retargeting users who have interacted with our ads
- Analyzing conversion rates and return on ad spend
Your Control:
You can opt out of personalized advertising tracking at any time:
- Go to Settings → Privacy & Security → Tracking
- Toggle off tracking for Speakwise
Even if you opt out, we may still collect anonymized analytics data that cannot be used to identify you personally.
Data Sharing:
Event data is sent to Meta (Facebook) for advertising attribution and campaign optimization. Meta processes this data according to their own privacy policy: https://www.facebook.com/privacy/policy/
Important: We do NOT use the Facebook SDK to access your Facebook account, post on your behalf, or access your Facebook friends list. The SDK is used solely for advertising measurement and attribution.
App Tracking Transparency
iOS 14.5+ requires apps to ask permission before tracking your activity across other companies' apps and websites. When you first open Speakwise, you'll see an App Tracking Transparency (ATT) prompt explaining how we use tracking data. You can:
- Allow tracking: We collect your IDFA for personalized advertising
- Ask App Not to Track: We won't collect your IDFA. Speakwise does not show ads inside the app, so nothing changes in your app experience; any Speakwise advertising you encounter elsewhere simply won't be personalized to you
You can change this choice anytime in Settings → Privacy & Security → Tracking.
AI AND MACHINE LEARNING
- We use AI to process your audio for transcription and summarization
- Speakwise does not operate its own AI models and never trains AI on your recordings or transcripts
- Your audio is processed by our transcription providers (fal.ai, ElevenLabs, and Replicate) solely to generate your transcript; we do not sell it or use it to build advertising profiles
- Your transcript text is processed by OpenAI solely to generate your summary, title, and to-do list; OpenAI does not train its models on data sent through its API
- Processing occurs on secure servers using Supabase's standard cloud security
INTERNATIONAL DATA TRANSFERS
Your data may be transferred to and processed in countries outside your residence, including the United States. We ensure adequate protection through:
- Standard Contractual Clauses (SCCs) approved by the European Commission
- Service providers certified under the EU-U.S. Data Privacy Framework or offering equivalent safeguards
- Adequate data protection measures as required by applicable law
YOUR PRIVACY RIGHTS
Under GDPR (EU residents):
- Access: Request copies of your personal data
- Rectification: Correct inaccurate personal data
- Erasure: Request deletion of your personal data
- Portability: Receive your data in a portable format
- Restriction: Limit how we process your data
- Objection: Object to processing based on legitimate interests
- Withdrawal of consent: Revoke consent for specific processing activities
Under CCPA/CPRA (California residents):
- Know: Information about personal data collection and use
- Access: Copies of specific personal information
- Delete: Deletion of personal information (with exceptions)
- Opt-out: Sale or sharing of personal information (we don't sell data)
- Correct: Correction of inaccurate personal information
- Limit: Sensitive personal information use and disclosure
To exercise your rights, contact us through the app settings. We will respond within 30 days (GDPR) or 45 days (CCPA).
CHILDREN'S PRIVACY
Speakwise is not intended for children under 16 (or 13 in the US). We do not knowingly collect personal information from children under these ages. If we become aware of such collection, we will delete the information immediately.
RECORDING CONSENT AND LEGAL COMPLIANCE
YOU are responsible for:
- Obtaining proper consent from all meeting participants before recording
- Complying with applicable local, state, and federal recording laws
- Understanding one-party vs. two-party consent requirements in your jurisdiction
- Informing participants that recordings are being made
We provide tools; you ensure lawful use.
CHANGES TO THIS POLICY
We may update this privacy policy to reflect changes in our practices or legal requirements. Material changes will be communicated through:
- In-app notifications
- Email to registered users
- Updated “Last modified” date
Continued use after changes constitutes acceptance of the updated policy.
